How to Order OEM Parts from Japan

1. Identify the part you need

Start by preparing the information related to your vehicle and the part you are looking for.

You may provide:

VIN or chassis number
Engine code, if available
OEM part number, if known
Part name or description
Quantity required
Destination country
Photos of the part, label, packaging or vehicle area, if useful

If you do not know the OEM part number, you can still submit a request.

The VIN or chassis number is highly recommended because it helps us identify the exact OEM part and reduce compatibility mistakes.

2. Send your request

Submit your request through the SeiKiGen Request Quote page.

Our team reviews each RFQ manually.

If the information is complete, we proceed with sourcing checks.

If additional details are required, we may contact you by email or WhatsApp before preparing a quote.

The 48 business hours response time refers to RFQ review and quotation preparation. It does not mean delivery within 48 hours.

3. Compatibility review

Before sourcing, SeiKiGen reviews the information provided to reduce the risk of incorrect part identification.

OEM parts may vary depending on:

  • Production year
  • Chassis number
  • Engine type
  • Trim level
  • Regional specification
  • Manufacturer part number updates

This is why VIN-based matching is strongly recommended.

4. Japan sourcing verification

SeiKiGen checks availability through verified Japan-based sourcing channels and supplier networks.

Our sourcing review may include:

  • Part availability
  • OEM reference confirmation
  • Supplier price
  • Estimated sourcing time
  • Estimated shipping conditions
  • Quantity availability
  • Part number supersession or replacement
  • Packaging or export constraints

SeiKiGen may use different verified Japan-based suppliers depending on part availability, price, lead time, supplier reliability, shipping conditions and the nature of the request.

5. Availability confirmation

After supplier review, SeiKiGen confirms whether the requested part can be sourced.

In some cases, a request may be placed on hold if:

  • VIN or chassis number is required
  • Engine code or production date is required
  • The supplier confirms a longer sourcing time
  • The requested quantity is not fully available
  • The OEM part number has been superseded or replaced
  • The part number has been split into multiple component references
  • The part is discontinued or no longer available
  • The supplier price has changed
  • Shipping conditions have changed

If this happens before the supplier order is placed, SeiKiGen will contact the customer with the available options.

Depending on the case, the customer may choose to provide additional information, accept revised conditions, reduce the quantity, wait for availability or cancel before payment.

6. Quote issued

If the part can be sourced, SeiKiGen sends a quotation.

A quotation may include:

  • Part description
  • OEM reference, when available
  • Quantity
  • Estimated sourcing time
  • Estimated shipping method
  • Estimated shipping cost
  • Total payable amount
  • Payment instructions
  • Quotation validity period

If no validity period is stated, the quote is valid for 48 hours.

Supplier prices, stock status and shipping conditions may change before payment confirmation.

7. Payment after quote confirmation

Payment is requested only after quote confirmation.

SeiKiGen does not use automatic checkout because OEM sourcing requires manual verification before payment.

Accepted payment methods may include bank transfer, Wise, PayPal or another method approved by SeiKiGen in writing.

An order is not confirmed until payment is received and verified.

8. Supplier order placement

After payment confirmation, SeiKiGen places the order with the selected supplier or sourcing channel.

Once SeiKiGen has ordered, reserved, paid for or specially sourced the part, cancellation or amendment may not be possible.

This is especially important for:

  • Special-order OEM parts
  • Rare parts
  • Electrical and electronic components
  • VIN-specific parts
  • Discontinued or limited-availability parts
  • Parts ordered specifically for the customer

9. Parts preparation

After supplier order placement, parts may go through supplier processing, warehouse preparation, packing, export preparation or dispatch coordination.

Handling time may vary depending on:

  • Supplier processing
  • Warehouse availability
  • Packaging requirements
  • Japanese public holidays
  • Carrier pickup schedules
  • Export procedures
  • Part size and weight

10. Shipping arrangement

Once the part is ready for dispatch, shipment is arranged through an available logistics provider according to destination, package size, package weight and shipping conditions.

Final shipping cost may change if actual weight, dimensions, packing requirements, remote area status or carrier restrictions differ from the initial estimate.

International shipping may be arranged through established logistics providers such as FedEx, depending on destination and part characteristics.

If an additional shipping amount is required before dispatch, SeiKiGen will inform the customer whenever possible.

11. Tracking

Tracking information is provided when available after the carrier has generated a tracking number.

Tracking updates are controlled by the carrier and may not appear immediately after dispatch.

12. Receive and inspect your order

The customer is responsible for receiving the shipment and inspecting the package and parts upon delivery.

If the package arrives visibly damaged, or if an item appears missing, incorrect or defective, the customer should contact SeiKiGen as soon as possible and provide photos, tracking information and order details.

Import duties, taxes, customs clearance fees, brokerage fees or local destination charges are the responsibility of the customer unless otherwise agreed in writing.
